Set Up a Generic Lead Inbox

Create a general-purpose lead inbox when renter inquiries arrive in a predictable email format but do not require a dedicated integration such as Zillow.

Create the Lead Inbox

  1. In the AveryIQ Team portal, open Settings > Inboxes.
  2. Select Create Inbox.
  3. Give the inbox a clear source-based name, such as Website Leads or Apartments.com Leads.
  4. Set Type to Leads.
  5. Under Allowed Senders, select Anyone when the original messages come from an outside service.
  6. Optionally add AI instructions describing the fields Avery should extract, such as the prospect’s name, contact details, move-in date, and property of interest.
  7. Select Create Inbox, then copy the generated address.

Do not use the generic Leads type for Zillow or HotPads. Follow Set Up a Zillow Lead Inbox instead.

Send Only Lead Emails to AveryIQ

If a lead service can deliver inquiries directly to an additional address, add the AveryIQ address there. Otherwise, create a forwarding rule in the mailbox that receives the inquiries.

For Gmail, first add and verify the AveryIQ address, then create a filter based on a sender address, subject pattern, or other criteria unique to the lead service.

Search with the proposed criteria before creating the filter. If unrelated messages appear, narrow the rule so they do not become leads.

Test the Inbox

Wait for a new inquiry from the source. Then:

  1. Open Inbox in AveryIQ and confirm that the prospect appears as a lead with their message.
  2. Return to Settings > Inboxes and select the mail icon beside the inbox.
  3. If the email was rejected or failed, expand it under Recent emails and review the reason.

An ordinary test email may not contain enough contact information to create a lead. Use a real inquiry from the source or a representative message containing a reply address or phone number.
