Publish Monthly Owner Statements

Publish a monthly statement so an owner can review their property activity and download a PDF from their owner portal. Each statement includes an owner-wide summary, property breakdowns, and dated transactions.

Statements are published one owner and one month at a time. Publishing a statement does not transfer money or record an owner distribution.

Before You Start

  • Your organization needs owner portal access and active trust accounting.
  • You need access to financial information. Publishing and withdrawing also require accounting approval permissions.
  • Finish reviewing the month’s bookkeeping, including income, expenses, management fees, and owner contributions or distributions.
  • Make sure the owner’s contact record has an email address they can access.

Preview a Statement

  1. Open Financial > Owners and select the owner.
  2. Find Monthly statements.
  3. Choose the Statement month. The previous calendar month is selected by default. You can publish only completed months.
  4. Select Preview statement.
  5. Review the full statement, including each property’s activity and the funds retained at month-end.

A preview is not saved or visible to the owner. Correct any bookkeeping errors before publishing, then select Preview statement again to review the updated figures.

Publish and Notify the Owner

  1. Check the Notification email beneath the preview. AveryIQ uses the owner’s primary contact email, or their first recorded email if no primary is set.
  2. If the address is missing or incorrect, select Edit owner contact. Update the contact, return to Owners, and preview the statement again.
  3. Select Publish and notify owner.
  4. Check Statement history for the published month and its email status.

If the statement changes after you preview it, AveryIQ asks you to preview again before publishing. If your organization’s policy requires an additional approval, the action is submitted for approval first.

Publication saves a fixed copy of the statement and queues an email with a secure portal link and email-code sign-in instructions. Later bookkeeping or contact changes do not rewrite that saved copy.

Check Email Delivery

Statement history shows publication status separately from email status. An email may be pending, queued, sent, failed, or suppressed. Sent means the notification was sent; it does not confirm that the owner opened it. Suppressed means outbound notifications are disabled in that environment.

An email failure does not withdraw the statement. The published copy remains available in the owner’s portal. Delivery retries happen automatically; if the failure persists, verify the contact address and contact AveryIQ Support. Do not withdraw a correct statement just to retry its notification.

Help an Owner Open Their Statement

You can share these steps with the owner:

  1. Open the portal link in the statement notification email.
  2. Sign in using the email address on your owner account and enter the verification code sent to that address. No password or separate invitation setup is needed.
  3. If you have more than one AveryIQ account, use the account menu to select the correct owner account and organization.
  4. Open Statements and select a month. The latest published month appears first, followed by earlier published months.
  5. Read the statement or select Download PDF to save a copy.

The portal works in a phone browser. It shows an empty state until the first statement is published. Owners can continue viewing their published historical statements after an ownership assignment ends, provided their owner account still has access.

For questions about the figures, use the management support contact shown on the statement, when one is provided.

Understand the Statement

The Owner funds summary shows beginning owner funds, the month’s activity, and ending owner funds. Activity includes income collected, expenses paid, management fees, owner contributions, and distributions. Opening adjustments and trust replenishment are shown separately from ordinary income. Categories with no activity may be omitted.

Figures reflect the statement month. Security deposits and tenant money that has not been applied are not owner income. A reversal can appear with the opposite sign from the original activity.

Funds retained at month-end explains why the ending balance and the amount available to the owner may differ:

These items explain availability; do not subtract them again from Ending owner funds. A shortfall at one property can reduce funds available from the owner’s other properties. Available at month-end is a historical figure, not today’s balance or a scheduled or promised payout.

Each property section repeats the summary and lists dated activity. A property with no activity can still have beginning and ending balances.

View History or Correct a Published Statement

In Statement history, select View beside a month and revision to open the saved statement and download its PDF. Your team can also view withdrawn copies.

If a published statement is wrong:

  1. Find the statement in Statement history and select Withdraw.
  2. Read the confirmation and select Withdraw statement. The owner immediately loses access to that copy in the portal and through its download link.
  3. Correct the underlying bookkeeping.
  4. Select the same Statement month and choose Preview statement.
  5. Review the corrected figures and notification email, then select Publish and notify owner.

The replacement receives a new revision and a replacement-statement notification. The old revision stays marked Withdrawn in your team’s history; it is never edited or reactivated. Only one revision for an owner and month can be published at a time.

An owner opening a withdrawn link sees This statement is no longer available. Ask them to open the replacement notification or return to Statements. Withdrawal cannot remove a PDF the owner already downloaded.
